Document Services Specialist
Blake, Cassels & Graydon LLP (Blakes), one of Canada’s largest and most successful law firms, is currently looking for a Document Services Specialist to join the Document Services team in the Toronto office. The required hours of work for this position are Tuesday to Saturday from 10:00 a.m. to 6:00 p.m. Eastern Time (ET); 8:00 a.m. to 4:00 p.m. Mountain Time (MT); or 7:00 a.m. to 3:00 p.m. Pacific Time (PT). We welcome applicants from Toronto, Calgary and Vancouver.
Reporting to the Manager, Document Services, the Document Services Specialist will be responsible for all areas related to document production, providing technical and troubleshooting support in Microsoft Office applications and working closely with other members of the Document Services team.
Primary responsibilities include, but are not limited to:
- Provide firmwide document support using advanced skills in Microsoft Office (Word, Excel, PowerPoint and Outlook)
- Create various documents through conversion, copy typing, transcription, Firm templates or other methods
- Revise legal and complex documents
- Clean and format Word documents according to Firm standards
- Troubleshoot and repair document issues
- Respond to document production questions and teach/train others when required
- Advanced application of numbering schemes and formatting techniques
- Convert PDFs to Word and Excel and format them according to Firm standards
- Manipulate PDFs, including creating fillable forms, redaction, bookmarking and hyperlinking
- Create, revise and format PowerPoint presentations and Excel spreadsheets
- Create, revise and format tables, indexes, graphs and organizational charts
- Perform mail merges
- Transcribe dictation using BigHand Digital Dictation
- Create comparisons using Workshare Compare and Litera Compare
- Screen share through Microsoft Teams for collaborative work
- Record incoming work in Freshservice tracking system
- Assist with additional tasks and projects as needed
Qualifications
Education/Experience:
- Minimum of three years of experience in document production in a legal environment
- MOS certification an asset
Skills/Abilities:
- Advanced technical skills in Microsoft Office applications (Word, Excel, PowerPoint and Outlook), Kofax Power PDF, Adobe Acrobat Pro, Workshare Compare, Litera Compare and BigHand Digital Dictation
- Strong troubleshooting and problem-solving skills with the initiative and ability to identify alternative solutions
- Excellent written and verbal communication skills
- Professional demeanour and strong customer-service skills
- Highly organized with exceptional attention to detail
- Advanced working knowledge of NetDocuments
- Ability to coordinate incoming requests and prioritize work effectively
- Microsoft Office Specialist certification in Word, PowerPoint and Excel is preferred
