Administrative Assistant for the General Counsel’s Office

Blake, Cassels & Graydon LLP (Blakes), one of Canada’s largest and most successful law firms, is currently looking for an Administrative Assistant to provide support to our General Counsel’s Office in the Toronto office.
 
Reporting to the General Counsel, this role provides administrative support to leaders and all functions within the General Counsel’s Office, ensuring assigned administration processes are delivered effectively and efficiently.
 
Primary responsibilities include, but are not limited to:

  • Providing secretarial support to three lawyers in the General Counsel’s Office

  • Maintaining and coordinating schedules — calendars, appointments and meetings, including arranging meetings, booking boardrooms and managing Outlook appointments

  • Assisting in the preparation of documents and correspondence and related revisions

  • Arranging travel for the General Counsel’s Office team by booking flights and arranging hotel stays

  • Preparing and coordinating expense reporting and invoice payments

  • Assisting with General Counsel’s Office filing matters

  • Assisting in the maintenance and management of intranet content for the General Counsel’s Office

  • Providing back-up to the General Counsel’s Office Coordinator as required

  • Assisting all members of the team in broader General Counsel’s Office initiatives

Qualifications:
Education/Experience:

  • Post-secondary education in administration

  • Minimum of three years of administrative assistant experience, preferably in a legal or professional services environment

Skills/Abilities:

  • Excellent verbal and written communication skills

  • Strong attention to detail

  • Excellent organization and time-management skills, with the ability to operate effectively in a fast-paced environment

  • Excellent ability to manage multiple competing tasks and priorities while maintaining strong customer service

  • Demonstrated collaboration and teamwork

  • Demonstrated commitment to maintaining confidentiality and professional management of sensitive materials and information

  • Experience interacting with professionals and/or executives and ensuring the high level of service required for these stakeholders

  • Strong proficiency in Microsoft Office Suite, including Word, Excel and PowerPoint
